Job Summary

The Administrative Assistant provides daily administrative support, which includes receiving, sorting, and delivering all incoming correspondence (mail, FedEx, fax); answering incoming phone calls; greeting guests; assisting co-workers with requests for information; maintaining an organized filing system in soft or hard format as necessary; preparing and distributing departmental reports.

 

Key Responsibilities:

  • Manage required reports, including records retention, prepare other regulatory reports.
  • Make travel arrangements as necessary, including coordinating flights, ground transportation, hotel reservations, tracking reservation changes, and providing accurate figures for expense reporting.
  • Provide support for meetings, including room reservations, meals, and meeting equipment.
  • Provide administrative support for all department changes.  This includes coordinating all necessary documents, arranging essential work items (such as computers, office space, business cards, and supplies), and following through on the back end of changes.
  • Assist with on-demand tasks and projects.
  • Performs other responsibilities as needed.

Basic Qualifications 

  • Computer proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Previous work experience as a member of a team, or a strong understanding of the importance of open communication and information sharing between team members.
  • Ability to work flexible hours or overtime as needed.
  • Strong written, verbal, analytical, and interpersonal skills are essential.

Preferred Qualifications 

  • 2 to 5 years of experience.
  • Some college or administrative training.
  • Must possess a strong work ethic and leadership qualities. 
  • Strong attention to detail.
  • Previous industrial experience preferred.
  • Must exercise independent discretion and decision-making and take a proactive approach to issues and strategies.
  • Ability to work in a fast-paced, deadline-oriented environment, prioritize assignments, and handle multiple projects and/or requests concurrently.

  • Ability to work well under pressure and within time constraints, builds sound relationships with internal and external customers.
  • Ability to exhibit excellent communication, analytical, organizational, and computer skills.
  • Capable of independently making sound decisions through creative problem-solving, ambiguity, and change.

  • Ability to read and understand technical correspondence, memos, instructions, and reports.
  • Ability to apply skills to continuous process improvement while maintaining maximum levels of safety.
